Privacy Notice
Last updated: 2 October 2026
1. Who is responsible
Plan My Seating is operated by William Wilson, who acts as the data controller for the personal data described in this notice.
2. Data we collect and why
- Contact and purchase details (email address, order and transaction identifiers): to deliver your unlock code, recover a lost code, and provide support. Legal basis: contract performance.
- Unlock code activations (code and a device identifier): to enforce the 2-device limit and prevent fraud. Legal basis: contract performance and legitimate interests.
- Usage and device data (IP address, browser/device identifiers, error logs): for security, fraud prevention, and product improvement. Legal basis: legitimate interests.
- Your seating plans and guest lists: these are stored on your own device (browser storage) and in files you export. They are not uploaded to our servers in normal use.
- Feedback and partnership enquiries (your message, and your name, email, company and website if you provide them): to respond to your request and manage potential partnerships. Legal basis: legitimate interests and steps prior to a contract.
- Anonymous usage counts (feature used, plan tier, date/time): to understand which features are useful. No names, plan contents, IP addresses or device identifiers are recorded. Legal basis: legitimate interests.
Payment card and billing details are collected and processed by our Merchant of Record, Paddle, and are not covered by this notice.
3. Who we share data with
- Service providers/subprocessors (hosting, error monitoring, support tooling).
- Paddle (Merchant of Record) for the sale of the product, payments, tax compliance, and invoicing.
- Professional advisers (legal, accounting) where needed.
- Authorities where required by law.
4. Retention
We keep purchase and activation records for as long as needed to provide the service and meet legal/accounting obligations, after which data is deleted or anonymised.
5. Your rights
Depending on your location, you may have the right to access, correct, delete, restrict, or port your personal data, to object to processing, to withdraw consent, and to complain to a supervisory authority. If you are in the UK/EEA, we respond to requests within one month. Where data is transferred outside the UK/EEA, we use appropriate safeguards such as standard contractual clauses or adequacy decisions. To exercise any right, contact us via the details on your Paddle receipt.
6. Security
We apply appropriate technical and organisational measures, including encryption in transit and access controls, to protect personal data.
7. Cookies and local storage
We use essential browser storage to keep the app working (your seating plan, unlock state, and preferences). We do not use marketing cookies. You can clear this storage at any time in your browser settings; doing so removes locally saved plans. When you first land on the planner we show a short notice about this storage; dismissing it is also remembered in your browser.
If you hold an unlock code, we also keep a minimal usage record against that code: the date a plan was first saved, first extracted, or first passed 75% seated, plus your device identifier. This is used only to administer our goodwill refund window (legitimate interests). No guest names, plans or seating details are ever sent to us.
